Car Show Expert ("we", "us", "our") is a car show management platform. This policy explains what personal information we collect, why we collect it, and how we protect it. We keep this short and plain — no legal maze.
1. Who we are

2. Information we collect
Account holders (organisers)
When you create an account we collect:
- Name and email address
- Password (stored as a one-way hash — we never see your password in plain text)
- Organisation name and subdomain
- Billing information (processed by Stripe — we don't store card numbers)
Show registrants
When someone registers for a show, the organiser collects this information through our platform:
- Name, email address, and phone number
- Vehicle details (year, make, model, description)
- Selected entry type and class
This data is held on behalf of the organiser (we are a data processor for that data). The organiser is responsible for communicating to registrants how their data will be used.
Email subscribers
If you subscribe to show notifications, we collect:
- Email address and name
- Postcode or zip code (used to calculate distance to shows)
- Latitude and longitude derived from your postcode (stored to power geo-filtering)
- Notification preferences (instant alerts, weekly digest, or both)
Usage data
We collect standard server logs including IP addresses, browser type, and pages visited. We use this to keep the service running and to diagnose problems. We do not use this data for advertising.
3. How we use your information
- To provide and operate the Car Show Expert service
- To send transactional emails (registration confirmations, check-in reminders)
- To send show alert and digest emails to subscribers who have opted in
- To process payments via Stripe
- To respond to support requests
- To improve the platform based on usage patterns
We do not sell your personal information. We do not use your data for advertising targeting on third-party platforms.
4. Sharing your information
We share data with a small number of trusted service providers who help us operate the platform:
- Supabase — database hosting (data stored in the US)
- Vercel — application hosting (data processed in the US)
- Resend — transactional email delivery
- Stripe — payment processing (subject to Stripe's own privacy policy)
We do not share your data with any other third parties except where required by law.
5. Email communications
We send two types of emails:
- Transactional — registration confirmations, password resets, billing receipts. These are necessary to operate the service.
- Notification emails — show alerts and weekly digests sent only to subscribers who have opted in. Every notification email includes a one-click unsubscribe link.
To unsubscribe from show notifications, click the unsubscribe link in any notification email. Your preferences are updated immediately.
6. Data retention
- Account data — retained while your account is active. If you delete your account, we remove your personal data within 30 days.
- Registration data — retained for as long as the organiser's account is active. Organisers can delete individual registrations at any time.
- Subscriber data — retained until you unsubscribe or request deletion.
- Server logs — retained for up to 90 days.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict certain processing
- Export your data in a portable format
To exercise any of these rights, email privacy@carshowexpert.com. We'll respond within 30 days.
8. Cookies
We use a small number of cookies necessary to operate the service:
- Session cookie — keeps you logged in
- CSRF token — protects against cross-site request forgery
We do not use advertising cookies or third-party tracking cookies.
9. Security
We take reasonable steps to protect your data: passwords are hashed with bcrypt, all connections use HTTPS, and access to production systems is restricted. No system is perfectly secure — if you suspect a security issue, please email security@carshowexpert.com.
10. Children
Car Show Expert is not directed at children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with their information, please contact us and we will delete it promptly.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we'll notify account holders by email. The "Last updated" date at the top of this page reflects the most recent revision.
